A practical guide to free AI tools: Getting more done with Grok, ChatGPT, Gemini, Perplexity and NotebookLM
What do the free tiers of five popular AI tools actually offer, which one fits which task, and how do you use them without leaking company data? A guide based on official pages, current as of October 2026.
AI tools are already part of the everyday workflow for white-collar professionals. According to Microsoft and LinkedIn's 2024 Work Trend Index, which surveyed 31,000 people in 31 countries, 75% of knowledge workers use generative AI at work, and 78% of those users bring their own AI tools rather than waiting for their employer to provide them [1].
That rapid adoption has a risk side. Verizon's 2026 Data Breach Investigations Report found that 67% of users access AI services from corporate devices using non-corporate accounts. This unsanctioned use ("shadow AI") is now the third most common non-malicious insider action in Verizon's data loss prevention (DLP) dataset [2].
In this guide we compare the free tiers of five tools based on what their official pages say: which tasks they suit, what the free plan's limits are and how to protect your data.
Note: Free-tier features and limits change often. The information below was checked against each tool's official page on October 15, 2026. Some pages show US information; features available in your country may differ.
Before you start: three ground rules
1. Check your company policy before sharing work data
In its February 2026 document "Use of Generative AI Tools in the Workplace", Türkiye's Personal Data Protection Authority (KVKK) defines use outside the organization's knowledge or approval as "shadow AI". The authority argues that outright bans are unlikely to work in practice and recommends a clear corporate policy and an awareness-based approach instead [4].
According to the same document, some organizations allow public AI tools for brainstorming, language editing and summarizing content available online, as long as no personal data or trade secrets are involved. Customer files, HR data and internal correspondence are generally kept out of scope [4].
2. Anonymize personal data
KVKK recommends using anonymized and generalized wording as much as possible when interacting with AI tools: general descriptions instead of identifying details such as names, dates and locations, and extra caution with health, financial and legal information [4]. The authority also covers the personal data side under Turkish Law No. 6698 in its "Generative AI and Personal Data Protection Guide (in 15 Questions)" [3].
3. Verify the output
KVKK highlights "automation bias", the tendency to over-trust automated systems, and hallucinations: content that looks consistent and convincing but isn't true. It recommends treating outputs as supporting material under human review, not as the final basis for decisions [4].
The tools: what they offer and what's in the free tier
1. Grok
Standout feature: Live search across the web and X, giving up-to-date answers with citations. According to xAI's product page, Grok also offers file and PDF analysis, understanding of screenshots and diagrams, a Canvas for long-form editing and support for more than 30 languages, on the web, iOS and Android [5].
Free tier: The pricing page lists limited chat requests and limited agent requests on the free plan, and image generation is also limited. Usage allowances refresh weekly [6].
Data controls: In the Grok app, go to Settings > Data Controls; on grok.com, Settings > Data. The "Improve the Model" option lets you choose whether your content is used for model training. Conversations in "Private Chat" are not used for training and are deleted from xAI's systems within 30 days [7].
How to use it at work:
- Summarize the latest developments in your industry and the conversation on X, with sources
- Scan recent reactions to a competitor's move or a new regulation
- Upload a public report (PDF) and pull out the key findings
2. ChatGPT
Standout feature: General-purpose writing work: drafting, rewriting, summarizing and brainstorming.
Free tier: According to OpenAI's pricing page, the free plan offers unlimited text chats with GPT-6, subject to abuse guardrails. File uploads, image creation, voice chats, deep research and memory are limited. The page lists a total context window of 27K and a maximum input of roughly 12 pages of text for the free plan [8].
Data controls: When you turn off "Improve the model for everyone" under Settings > Data controls, your new conversations won't be used to train OpenAI's models. Temporary chats don't appear in your history and aren't used to improve models, though they may be retained for up to 30 days for safety purposes [9].
How to use it at work:
- Turn meeting notes into an action list
- Soften or sharpen the tone of a difficult email
- Draft the flow and slide titles of a presentation
3. Google Gemini
Standout feature: Connection to the Google ecosystem and research features.
Free tier: Google's subscriptions page (US view) lists the following for the free plan: access to the Flash-Lite model, image generation and editing, Deep Research, Gemini Live, Canvas, Gems, and 15 GB of storage across Gmail, Drive and Photos. Gemini inside Google apps such as Gmail is not in the free plan's list; it appears in Google AI Plus and higher plans [10].
Data controls: The Gemini Apps Privacy Hub states that some chats are reviewed by human reviewers and that you shouldn't enter confidential information you wouldn't want a reviewer to see. With "Keep Activity" turned off, or in temporary chats, your chats aren't used to train Google's models; they are kept for 72 hours to respond to you and for safety [11].
How to use it at work:
- Use Deep Research to get a thorough first-pass report on a market or industry
- Co-edit a document in Canvas
- Build your own Gem for recurring tasks (e.g. "weekly report summary")
4. Perplexity
Standout feature: A search-first assistant that answers with sources.
Free tier: According to the plan comparison in Perplexity's Help Center, the free (Standard) plan offers practically unlimited basic searches, 3 Pro Searches per day, 1 Research query per month and limited file uploads. Advanced AI models and image generation aren't included [12].
How to use it at work:
- Track down the source of a statistic or claim
- List different perspectives on a topic, with sources
- Do quick background research for a presentation
Citing sources is a big advantage, but it isn't enough on its own: before using an important fact, open the cited source and check that the sentence really says what the answer claims.
5. NotebookLM (now Gemini Notebook)
Standout feature: Answers grounded only in the sources you upload. According to Google, NotebookLM became Gemini Notebook in July 2026; it's the same product, and existing notebooks remain fully accessible. It can turn your sources into Audio Overviews, mind maps, reports, flashcards, quizzes and slide decks [13].
Free tier: According to Gemini Notebook's plans page, the free Standard plan includes 100 notebooks per user and 50 sources per notebook [14].
Data controls: Google says that for individual users, data isn't used for training unless you share feedback. For Workspace users, uploads, queries and responses aren't used to train models even if feedback is submitted [13].
How to use it at work:
- Upload a long regulation, contract template or training document and ask questions about it
- Create a one-page briefing from all of a project's documents
- Generate an audio summary of a report to listen to on your commute
Which tool for which job?
| Need | First choice | Why? |
|---|---|---|
| Following current news and trends | Grok | Live web and X search with citations [5] |
| Email, text and presentation drafts | ChatGPT | Unlimited text chats on the free plan [8] |
| A thorough first-pass research report | Gemini | Deep Research on the free plan [10] |
| Finding the source of a fact | Perplexity | Source-focused search [12] |
| Digesting your own documents | NotebookLM / Gemini Notebook | Answers grounded in your uploads [13] |
These tools overlap heavily. The table is a starting point based on the strengths each one highlights on its official page.
Writing better prompts
Whatever the tool, the clarity of your request largely determines the quality of the result. A practical framework:
- Role: "Think like an experienced HR business partner."
- Context: "We have a 12-person sales team, and end-of-quarter performance reviews are coming up."
- Task: "Prepare a 10-point review preparation checklist for managers."
- Format and limits: "Bullet points, no more than two sentences each, in English."
Don't treat the first answer as the final product. Refine it with follow-ups like "make it shorter", "rank the points by priority" or "list your assumptions". Verify any output containing figures, dates or quotes against the original source.
Quick safety checklist
- I've read my company's AI policy and know which tools I can use with which data.
- I don't paste customer, employee or financial data into tools on personal accounts.
- I anonymize personal information and use general wording.
- I've checked the model-training setting and the temporary/private chat option in every tool I use.
- I verify outputs against sources before important decisions.
- Two-factor authentication is on for my AI accounts too.
With the right tool, the right data and a habit of verifying, even free tiers can save serious time on everyday work.
